Privacy policy
This policy describes phase0-email-triage (Phase0 Email Triage), a personal application operated by its owner under Quiet Workshop, and this public information website. The application is currently limited to the owner's Gmail account.
Google data accessed
With the owner's authorization, the application uses Gmail read-only access to retrieve message identifiers, thread identifiers, labels, sender details, subjects, dates, and the text of messages selected for processing. Exclusion rules screen messages before eligible bodies are fetched. These rules reduce processing; they are not a guarantee that every sensitive message will be excluded.
Attachment contents are excluded from AI requests. The application does not separately download attachments or open links embedded in email. It does not modify or send Gmail messages.
Purpose and AI processing
Data is used to classify messages, suggest priority and reply needs, generate a short classification explanation, prepare a private inbox brief and local digest, and support the owner's review, corrections, and troubleshooting.
For each selected message, the application sends OpenAI the sender information and sender domain, subject, date, an attachment-presence indicator, and up to 4,000 characters of extracted message text. The text may include personal information contained in the email. OpenAI processes this information through its API to return the classification.
The request disables saved response objects with store: false. This does not mean zero retention by OpenAI. OpenAI describes separate abuse-monitoring retention, normally up to 30 days with stated exceptions, and other service-specific retention such as prompt caching. API data is not used for model training by default unless a customer opts in. See OpenAI's data controls for its current terms and controls.
Local storage and retention
The application stores message identifiers, sender information, dates, subjects, short snippets of up to 200 characters, classification results, review feedback, and operational records in a database on the owner's computer. Subjects and snippets in the main triage table are scheduled for removal after 14 days. Other metadata, classification explanations, review records, and operational records remain until separately removed by the owner.
Local digest files, correction exports, and backups may also contain sender information, subjects, snippets, or derived information. They are not covered by the main table's 14-day cleanup and remain until separately removed. Original messages remain in Gmail under the owner's Google account settings.
Scheduled workflow execution payload saving is disabled in the current deployment. Manual runs, troubleshooting, and separately created backups or exports may have different retention. This policy does not promise that every copy of email-derived information is erased after 14 days.
Sharing and protection
Google provides mailbox access and OpenAI provides the classification service. The private application is reached locally or through restricted private-network access. Mailbox credentials and email data are not included in this website. Local operational software processes data on the owner's computer.
The application does not sell Google user data, use it for advertising, or make it available to visitors of this website. Google user data is used only for the described personal email features and related operation. Phase0 Email Triage's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including its Limited Use requirements.
Control and deletion
The owner can stop the application and revoke its access through Google Account connections. Revoking access stops future authorized retrieval but does not automatically erase existing local records, exports, backups, or information subject to a provider's retention rules. The owner can separately remove those local copies. Revocation does not delete the original Gmail messages.
This website
This is a static information website. It includes no mailbox sign-in, email-content upload, advertising, or site-authored analytics. Hosting infrastructure may process ordinary connection information such as IP address, requested page, and browser details to deliver and secure the website. External links are subject to their providers' policies.
Contact and changes
For application support or a privacy question, use the developer support email shown on the application's Google authorization screen. The authorized user is also the application owner. The policy will be updated when the application's data handling changes; the revision date appears above.
